Refund & Cancellation Policy

Our fair and transparent policy for refunds, cancellations, and rescheduling.

This Refund & Cancellation Policy applies to all services and training programs offered by Digital IT Hub Services, located at 4th Floor, Tech Tower, Hitech City, Hyderabad – 500081. By making a payment for any of our services or programs, you agree to the terms of this policy.

1 Overview

We strive to deliver exceptional value with every engagement. If for any reason you are not satisfied, we encourage you to contact us first so we can work to resolve the issue. Our refund policy is designed to be fair to both parties while protecting the significant time, effort, and resources that go into delivering our services.

All refund requests must be submitted in writing via email to info@digitalithub.com with your order/invoice details.

Refunds are not processed for services that have been fully delivered, digital products that have been downloaded/accessed, or training sessions that have been attended.

2 Digital Services (Project-Based)

Advance Payment (50%)

The initial advance payment confirms your project slot and covers the cost of discovery, planning, and resource allocation. Refund eligibility for the advance:

  • Within 48 hours of payment (project not commenced): 100% refund of advance, minus a ₹500 processing fee.
  • 3–7 days after payment (before project kickoff meeting): 50% refund of advance.
  • After project kickoff meeting or commencement of work: No refund of advance.

Balance Payment (50%)

The balance payment is due before final delivery. Once the final deliverable (website, campaign, design files) is handed over, no refund is available for the balance payment.

Cancellation by the Client Mid-Project

If the client cancels an ongoing project:

  • The client shall pay for all work completed to date, prorated against the agreed total project fee.
  • A minimum of 25% of the total project value is due regardless of project stage.
  • All completed work will be delivered upon clearance of any outstanding balance.

Cancellation by Digital IT Hub Services

In the rare circumstance that we are unable to complete a project due to circumstances on our end, a full pro-rata refund for uncompleted work will be issued within 10 business days, along with all completed deliverables.

3 Training Programs (Excel, VBA, Power BI)

Cancellation by the Student

Training program fees are refundable as follows:

  • 7 or more days before the first session: Full refund minus ₹500 processing fee.
  • 4–6 days before the first session: 75% refund of the enrollment fee.
  • 2–3 days before the first session: 50% refund of the enrollment fee.
  • Within 24 hours of the first session or after commencement: No refund.

Rescheduling

Students may reschedule to the next available batch at no additional cost, subject to seat availability, if they provide at least 48 hours' notice before the first session. Rescheduling is permitted once per enrollment.

Missed Sessions

Missed sessions due to personal reasons are not refundable. However, students may request access to session recordings (if available) or attend equivalent sessions in the next batch at no charge, subject to trainer approval.

Cancellation by the Trainer

If Digital IT Hub Services cancels a scheduled batch before it commences, enrolled students will receive a full refund within 7 business days, or the option to enroll in the next available batch.

If a session is cancelled mid-program due to unforeseen circumstances, we will reschedule the session at the earliest. If rescheduling is not possible, a pro-rata refund for unconducted sessions will be issued.

Corporate Training

Cancellation terms for corporate training engagements are governed by the signed Statement of Work (SOW). In the absence of an SOW, the individual program cancellation policy above applies, calculated on a per-participant basis.

4 Monthly Retainer Services

Monthly retainer services (SEO, social media management, digital marketing) are billed in advance for each month of service.

  • First month: The first month's retainer is non-refundable once work has commenced, as it covers onboarding, setup, research, and initial strategy development.
  • Subsequent months: Either party may cancel the retainer with 30 days' written notice. The retainer fee for the notice period is payable in full. No partial-month refunds are issued.
  • Prepaid multi-month packages: If you have prepaid for multiple months and wish to cancel, unused full months beyond the 30-day notice period will be refunded pro-rata, less a 10% early cancellation fee.

6 How to Request a Refund

To initiate a refund, please follow these steps:

  1. Email us at info@digitalithub.com with the subject line: "Refund Request — [Your Name/Invoice Number]"
  2. Include your full name, contact number, the service/program name, date of payment, and the reason for your refund request.
  3. Attach a copy of your invoice or payment receipt.
  4. Our team will acknowledge your request within 2 business days and process eligible refunds within 5–10 business days of approval.

Refund Method

Approved refunds will be credited back to the original payment method used for the transaction (e.g., bank account, credit card, UPI). We do not issue refunds via cash or a different payment method. The time taken for the refund to reflect in your account depends on your bank or payment provider (typically 3–7 business days after we initiate the refund).

7 Payment Gateway Failures & Duplicate Charges

If your payment is debited but the transaction fails or is not confirmed on our end:

  • The amount will typically be auto-reversed by Razorpay within 5–7 business days.
  • If you do not receive the reversal within 7 business days, please contact us with your bank transaction reference number, and we will investigate and resolve the issue promptly.

In the case of a duplicate charge (same transaction charged twice), please email us immediately. We will verify the transaction and issue a full refund for the duplicate charge within 3–5 business days.

8 Disputes & Chargebacks

We strongly encourage you to contact us directly before raising a chargeback with your bank or card issuer. Most issues can be resolved amicably and much faster through direct communication with our team.

Initiating a chargeback without first contacting us may result in:

  • Suspension of active services while the dispute is being investigated.
  • Additional administrative fees being deducted from any eventual refund.

All disputes are subject to the jurisdiction of courts in Hyderabad, Telangana, India.
